Job Description:
You will be responsible for administrative assistance to support senior staff members specifically, and the GAIA Calgary operating centre generally. The position will require taking on a central role in the overall coordination and functioning of the office. Your duties will include, but will not be limited to:

• Filing and document control in conformance with GAIA’s ISO 9001:2000 approved system; • Providing administrative assistance to project managers; • Liaising with clients, sub-contractors, suppliers, consultants, and other personnel within GAIA nationally and within Golder Associates’ Calgary office; and • Preparing letters, reports, proposals and other documents using Microsoft Excel, Word and Powerpoint. • Managing budgets and expenses for Project Managers/Supervisors

Job Requirements:
Candidates should have completed studies in word processing and administration at a collegial or technical school or an equivalent working experience and have an advanced knowledge of Microsoft Word, Excel, Powerpoint, and other MS Office programs. In addition, preferred candidates will possess the following qualities and strengths:

• ISO9000 experience with file management; • Excellent organizational skills (prioritizing, time management, record keeping, follow up, etc.); • Good communication skills (both listening and speaking) and a friendly, pleasant manner; • Excellent spelling, grammar, and proofreading skills; • A team player who can deal with pressure and deadlines; • A problem solver with the ability to identify and implement alternative solutions; and • Hard working, but with a sense of humour.
